Your Team

You will be part of the Information Governance Division in the Directorate General Secretariat. Our Division develops, maintains and guides the implementation of information management policies and procedures, and is also responsible for related training, maintenance and support. In addition, we provide records management services and library information services, including managing the ECB’s document and records management system and the ECB’s archives. At present, we are devising an Enterprise Information Management strategy and laying the foundations for a knowledge management programme. The latter will involve taking a holistic approach to managing the ECB’s information and knowledge assets.

The Division is recruiting trainees either in the Archives and Records Management team of the Information Governance Policies Section, or in the Library team and the Information Management Solutions team of the Knowledge Solutions Section.

Your Role

As a trainee in the Information Governance Policies Section you will:

  • assist in developing and updating the ECB’s information management policies, procedures and guidance;
  • support both the streamlining of guidance and awareness-raising among staff to encourage adherence to the ECB’s information management policies and procedures;
  • conduct quantitative and qualitative monitoring, as well as reporting on information management practices;
  • participate in acquiring and appraising archival material to meet business needs;
  • support the implementation of the ECB’s retention policy for paper and digital records;
  • arrange and describe archival holdings (including audio-visual material) in accordance with recognised standards;
  • provide assistance in carrying out sensitivity reviews of archival records;
  • specify and/or test functional requirements for electronic records management and archives management/digital preservation systems;
  • contribute to the Division’s information management projects, for example: enterprise search, digital archiving and preservation, external collaboration, digitisation of media assets.

As a trainee in the Library team, you will:

  • provide reference services and research support at the Library, using print and electronic resources;
  • help to provide customised information services to meet business and research needs by scanning relevant publications, monitoring news, searching online databases, etc.;
  • contribute to developing tailored alert services and preparing annotated reading lists on topics related to the ECB;
  • promote and raise awareness of available resources and services.

As a trainee in the Information Management Solutions team, you will:

  • assist in the functional support of the ECB’s Electronic Document and Records Management System;
  • support configuration tasks;
  • contribute to the design and development of business configurations, including collecting user requirements and testing solutions;
  • conduct quantitative and qualitative monitoring, as well as reporting on information management practices;
  • contribute to the Division’s information management project-related activities, such as functional business requirements collection, testing and business change management.

Qualifications, experience and skills


  • a bachelor’s degree or higher qualification in information, archives and/or records management, information technology, or, if your first degree is not in this field, a postgraduate diploma, master’s degree or higher qualification – or enrolment in a postgraduate course – in any of these subjects;
  • a working knowledge of Microsoft Office, in particular Word, Excel, PowerPoint and Outlook;
  • an awareness of and interest in the role and functioning of the ECB;
  • an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages, available at read more.


  • knowledge of a document management system such as OpenText Content Server, digital preservation software such as Preservica, and/or archiving, cataloguing and appraisal tools such as ATOM;
  • basic knowledge of HTML, SQL and/or JavaScript for the traineeship in the Information Management Solutions team;
  • experience in providing library services and knowledge of library systems for the traineeship in the Library team.

Further Information

Traineeships of six 6 months, with the possibility of an extension to up to 12 months in total.
